Data controller and contact details

What data we process and why

  • Purchases and order fulfilment: contact details, addresses, order contents and payment information are necessary to enter into and perform the contract — Article 6(1)(b) of the GDPR and, as applicable, the UK GDPR.
  • Sales records and legal obligations: we process order and payment information to meet tax, accounting and consumer protection obligations — Article 6(1)(c).
  • Enquiries, complaints and legal claims: correspondence and purchase information are used to handle enquiries, meet obligations, or establish and defend claims — Article 6(1)(b), (c) or (f), depending on the matter. Our legitimate interests are efficient customer service and the protection of our rights.
  • Store security: technical information, such as IP addresses, browser information and logs, helps us detect abuse and keep the store running — Article 6(1)(f).
  • Optional marketing and tracking: where you have given the required consent, contact details or information about how you use the website may be used for these purposes — Article 6(1)(a). Consent is not a condition of purchase.

We receive data from you, through your use of the store, and from providers involved in delivery and payment processing. Providing order information is voluntary, but we cannot fulfil an order without the data necessary to do so. Do not submit identity documents, passwords, BLIK codes or health information through store forms.

Service providers and recipients

The store runs on Shopify. Where necessary, data is shared with Shopify and its providers, delivery service providers (including Furgonetka and the selected carrier when arranging dispatch), banks, email and IT providers, accountants, advisers and authorised public bodies where required by law.

Our Gmail address is provided by Google. Contacting us through WhatsApp involves data processing by WhatsApp’s provider under its own policies. You may choose email or post instead of WhatsApp. Viewing a WhatsApp link does not require you to send a message.

Shopify’s role

Shopify provides hosting, the shopping cart, checkout and store management tools. Depending on the feature, it processes data on behalf of the seller or as a separate controller. When advanced Shopify services are used, data from interactions with the store may be combined with data from other Shopify services for the purposes described by Shopify, subject to privacy settings and any required consent. Transfers outside your country of residence

Because of the seller’s registered office and our providers’ international infrastructure, data may be processed in the United Kingdom and other countries outside the EEA. Protection mechanisms include applicable adequacy decisions or required safeguards, such as standard contractual clauses and relevant UK transfer mechanisms. You can request information about the safeguards for a particular transfer by contacting the controller.

Retention periods

We retain order data for the duration of the contract and then for the periods required for tax and accounting records and for pursuing or defending legal claims. We retain correspondence until the matter is resolved, and longer only where justified by obligations or claims. Marketing data is retained until consent is withdrawn, while a minimal record of consent and withdrawal may be retained. Retention periods for technical data and cookies depend on their purpose; we do not keep them indefinitely simply because they have been collected.

Your rights

Subject to the conditions set out in applicable law, you may request access to, rectification or erasure of your data, restriction of processing and data portability. You may withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal.

You have the right to object to processing based on legitimate interests, and always to processing for direct marketing. Email labsworldpl@gmail.com. Where necessary, we will request the information needed to verify your identity. We respond within the statutory time limit, usually one month.

You may lodge a complaint with the President of Poland’s Personal Data Protection Office (UODO), the competent supervisory authority in the EEA, or the UK Information Commissioner’s Office (ICO). You do not have to contact us first.
